How to Sync Your Listing Calendar with iCal

iCal sync imports an external calendar — Airbnb, Booking.com, Google Calendar or any other iCal-compatible tool — into your Uniplaces availability calendar, so dates booked elsewhere are blocked on your Uniplaces listing. Set it up from ap.uniplaces.com/listings by pasting your external calendar link. Syncs run on a schedule, not in real time, so for urgent changes update your Uniplaces calendar manually — and always check availability before you accept a booking request.

What is iCal sync?

iCal is an open calendar standard that allows different calendar systems to share availability data. When you set up iCal sync on Uniplaces, you paste the link to your external calendar into your listing, and Uniplaces imports the dates it finds there and blocks them on your Uniplaces availability calendar.

Confirmed bookings on Uniplaces block dates on your Uniplaces calendar automatically, whether or not you use iCal sync.

If you manage your rental availability across several platforms, iCal sync reduces the manual work of keeping your Uniplaces calendar in line with the others. It does not replace checking your calendar: syncs are not instant, and you remain responsible for the availability shown on your listing.

Step 1 — Go to ap.uniplaces.com/listings

Go to ap.uniplaces.com/listings and log in to your landlord account.

Step 2 — Choose your listing

Choose the listing you want to sync and click Edit.

Step 3 — Paste your external calendar link

Click ‘Update the Availability’ and paste your external calendar link into the field provided.

Step 4 — Sync and save

Click ‘Sync calendar’ and then ‘Save it’.

Your listing will now import updates from your external calendar on the sync schedule. Repeat the steps for each listing you want to sync.

What if a step doesn’t work?

  • Calendar link not accepted — make sure you are pasting a valid iCal URL. It should end in .ics or contain ical in the link. Contact the Uniplaces support team if you are unsure whether your calendar link is in the correct format.
  • Sync calendar button not appearing — make sure your listing is fully published and approved. Contact support if the option is not visible in your listing edit page.
  • Availability not updating after setup — see the troubleshooting section below.

How often does it sync?

Once iCal sync is set up, your availability updates on a regular schedule, not in real time. This means there can be a delay between an update in your external calendar and the change being reflected on your Uniplaces listing.

For urgent availability changes, update your Uniplaces calendar manually — manual updates take effect immediately. See How to Update Your Availability Calendar for details.

Check before you accept

iCal sync helps keep your calendar accurate, but it does not check a booking request for you. Before accepting any request, check that the dates are genuinely available on every platform you use, and that the price and facilities on your listing are correct. Once you accept and the tenant pays, the booking is confirmed and you are bound to provide the accommodation for those dates at the listed price.

One exception to advertising on several platforms: if you have activated the Essential Package on a listing, that listing is in an Exclusivity Period — the period during which it may be advertised only on Uniplaces, in return for free Uniplaces Rent Guarantee cover (landlord-side cover for rent lost if the tenant leaves early). You may not market that listing on other platforms while the period lasts, even if you use iCal sync for your other listings.

Troubleshooting sync delays

  • Wait a short while — syncs do not happen in real time. Give it some time before checking again.
  • Re-save the calendar link — go back to Edit → Update the Availability and re-paste your calendar link, then click Sync calendar and Save it again to force a refresh.
  • Contact Uniplaces support — if your availability still is not updating after re-saving, contact the support team and they will look into it.

When to contact Uniplaces support

  • Your calendar link is not accepted and you are unsure of its format
  • The Sync calendar option is not visible on a published listing
  • Your availability is still not updating after re-saving the link
  • You have accepted a booking request for dates that are no longer available

Frequently asked questions

Can I set up iCal sync for multiple listings?

Yes — you can set up iCal sync for each of your listings individually. Go to Edit on each listing and follow the same steps to add a calendar link for each one.

Does iCal sync automatically confirm or cancel bookings?

No — iCal sync only updates availability data. It does not confirm or cancel booking requests. You still need to accept or decline requests in your Uniplaces Personal Dashboard within 48 hours of receiving them — after that, a request expires.

What format should my calendar link be in?

Your calendar link should be a valid iCal feed URL — typically ending in .ics. Most calendar tools provide an option to copy or export a shareable iCal link from their settings. Contact the Uniplaces support team if you need help identifying the correct link format for your calendar tool.

What happens if a conflicting booking occurs because of a sync delay?

Once you accept a booking request and the tenant pays, you are bound to provide the accommodation for those dates — a sync delay does not release you from a confirmed booking. If you cannot honour it, contact the Uniplaces support team immediately. Cancelling a confirmed booking means the tenant is refunded in full — the first rental payment, the service fee and any holding deposit — Uniplaces support helps the tenant find alternative accommodation, and it may result in restrictions on your account.

To avoid this, check availability on every platform before you accept, and for urgent changes update your Uniplaces calendar manually rather than relying on the sync schedule.
